Ynterface Terms of Service

1. Agreement to Terms
By creating an account or using Ynterface, you agree to these Terms of Service. If you use Ynterface on behalf of a company, you represent that you are authorised to bind that company to these Terms.
2. Service Scope
Ynterface provides workflow, documentation, communication, and operational tools for providers, organisations, staff users, and client-related records. You are responsible for ensuring your use of the platform is lawful in your jurisdiction and aligned with your contractual and regulatory obligations.
3. Accounts and Access
You must provide accurate account information, keep credentials secure, and promptly notify us of unauthorized access. You are responsible for activity under your account and your invited users.
4. Customer Data and Responsibility
You retain ownership of your uploaded and generated data, including company, staff, and client records. You grant Ynterface a limited license to process this data to provide, secure, maintain, and improve the service. You are responsible for obtaining required notices, authorizations, and consents for any personal, sensitive, or health-related information you submit.
5. Security and Compliance Positioning
Ynterface uses security controls and cloud infrastructure intended to support secure handling of business and operational records. Unless explicitly stated in a signed agreement, Ynterface does not represent that your account, tenancy, or use case is independently HIPAA certified or SOC 2 certified. Compliance outcomes depend on your configuration, internal processes, access governance, and legal arrangements.
6. Acceptable Use
You must not use Ynterface to violate law, infringe rights, transmit malware, abuse service resources, or attempt unauthorized access. We may suspend or terminate accounts for security, legal, or misuse reasons.
7. Fair Use Policy for AI Features
Abby, our AI compliance and automation assistant, is available on the Free plan with 5 AI credits per day (resetting every 24 hours) and on the Pro plan with unlimited access. "Unlimited" Pro access is subject to a fair use policy: it is intended for normal day-to-day operational use by your staff, including scheduling automation, SCHADS award interpretation, case note generation, and document parsing.
We may apply reasonable rate limits, throttling, or request additional verification if an account's usage pattern indicates automated abuse, resale of AI output as a standalone service, bulk usage unrelated to your organisation's own NDIS operations, or usage that is disproportionate to your account size and materially impacts platform stability or cost for other customers. We will make reasonable efforts to notify affected accounts before restricting access.
8. Subprocessors and Infrastructure
Ynterface may rely on third-party providers, including cloud hosting and storage vendors, to deliver the service. By using the platform, you authorise processing by such subprocessors as reasonably required to operate Ynterface.
9. Termination and Data Effects
You may close your account subject to platform workflows. Depending on your role, deletion actions may remove account access and can trigger irreversible data effects. You are responsible for exporting or retaining records required by your legal, tax, employment, funding, or healthcare obligations before deletion.
10. Disclaimers
Ynterface is provided on an "as is" and "as available" basis to the extent permitted by law. We disclaim implied warranties, including merchantability, fitness for a particular purpose, and non-infringement.
11. Limitation of Liability
To the maximum extent permitted by law, Ynterface and its affiliates are not liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or business interruption. Total liability for claims arising from the service is limited to fees paid by you to Ynterface in the 12 months preceding the event giving rise to the claim.
12. Changes to Terms
We may update these Terms from time to time. Continued use after an update constitutes acceptance of the revised Terms.
